The short version
Buyers can spot AI-written outreach in seconds, and it erodes trust fast. The answer isn’t to avoid AI. Use it for the heavy lifting, such as research, preparation and first drafts, then add the human judgement, specifics and voice that make a buyer want to reply.
Why AI outreach falls flat
Most AI-written sales messages fail for the same reasons: generic openers, over-polished language and the same structure everyone else is using. Buyers now see dozens of these a week, so anything that reads like a template gets deleted without a second look.
Common giveaways include “I hope this finds you well”, words like “delve”, “leverage” and “game-changer”, flattering but empty personalisation such as “I loved your recent post”, and long paragraphs that say very little.
Use AI for research, not just writing
The biggest gains come before you write a word. Ask AI to:
- Summarise a prospect’s annual report, recent news and job ads
- Identify likely priorities and trigger events
- Map the buying group and what each person cares about
- Prepare sharp discovery questions for the first call
Then write the message yourself, using what you’ve learned.
Build your own voice guide
Give your AI tools a short guide to how you actually write: your tone, the words you use, the words you never use, typical sentence length and two or three of your best emails as examples.
| Sounds like AI | Sounds like you |
|---|---|
| I hope this email finds you well | Saw you’re hiring three SDRs in Brisbane |
| We leverage cutting-edge solutions | We help teams book more qualified meetings |
| I’d love to explore potential synergies | Worth a 15-minute chat next week? |
| Let’s delve into your challenges | Happy to look at what’s slowing your pipeline |
Add something only a human would notice
Every message needs one specific, genuine detail: a conversation at an event, a mutual connection, or a real observation about their business. AI can surface options. You choose the one that matters and say it in your own words.
Edit ruthlessly
- Delete the first sentence, which is usually throat-clearing
- Keep to one idea per message
- Cut adjectives and buzzwords
- Read it aloud, and rewrite anything you wouldn’t say on a call
- End with a simple, low-effort question
Keep humans in the moments that matter
Use AI to prepare for calls and to capture summaries, next steps and CRM notes afterwards, so you can be fully present in the conversation. Live discovery, negotiation and relationship-building should always stay human.
Check every fact
Never send a claim, figure, name or company detail you haven’t verified. AI can be confidently wrong, and one error can undo months of trust. If AI helped draft a proposal or summary, own it and check it line by line.
Put it into action
Your playbook checklist
- Use AI for account research and call preparation
- Create a voice guide with banned phrases
- Add one genuine, specific detail to every message
- Read every message aloud before sending
- Verify every fact, figure and name
- Keep live conversations human
